Customers may also pay 50% of the total amount in Nepal in cash, either in USD, the equivalent amount in another currency, or in Nepali rupees.

3. Trip cost inclusions and exclusions

Trip cost inclusions and exclusions are clearly stated in the official itinerary. Services not mentioned in the inclusions are considered excluded.

Common exclusions may include:

  • International airfare
  • Nepal visa fees
  • Travel insurance
  • Personal expenses (laundry, drinks, snacks, etc.)

  • Emergency evacuation costs

4. Travel insurance requirement

All clients must have valid travel insurance that covers:

  • High-altitude trekking
  • Emergency helicopter evacuation
  • Medical expenses
  • Trip cancellation/interruption
  • Loss/damage of baggage

Clients must provide insurance details before the trek begins. Clients cannot start the trek without a valid insurance policy.

5. Fitness and Health Responsibility

Clients must be in good physical condition and capable of completing the trek. It is the client’s responsibility to inform us of any medical conditions, allergies, or physical limitations before departure. We reserve the right to request medical clearance if necessary.

6. Itinerary Changes and Trip Flexibility

Trekking itineraries in Nepal may change due to weather, trail conditions, natural disasters, government restrictions, flight delays, health conditions, or other unforeseen circumstances.

In such cases:

  • The guide/company will make the safest and most practical decision.
  • Any additional costs (extra accommodation, meals, transport, flights, etc.) must be covered by the client.

7. Helicopter Charter Policy

If clients choose a helicopter charter due to flight delays/cancellations:

  • The cost is additional unless already included in the package.
  • Helicopters generally carry up to 5 passengers depending on weight and weather conditions.
  • The charter cost includes the guide’s seat, as local guides cannot afford separate helicopter tickets.
  • If the helicopter is shared with other travelers, the cost may be divided.

Helicopter flights are also subject to weather conditions and operational approval.

8. Accommodation and Meals

Facilities may be basic, especially at higher altitudes.

Meals are provided as per itinerary. Special dietary requests may be accommodated where possible but cannot be guaranteed in remote areas.

9. Porter Policy and Luggage Limit

Porters are provided according to package agreement.

  • Maximum porter load is strictly limited for safety.
  • The luggage limit is 10 kg per client, with a combined maximum of 20 kg per porter.
  • Excess luggage may require an additional porter at extra cost.

Clients are responsible for their personal daypack.

10. Client Conduct and Responsibility

Clients must respect local culture, traditions, and regulations.

Clients must follow the guide’s safety instructions at all times. If a client behaves in a way that threatens the safety of the group or staff, HGT reserves the right to remove the client from the trek without refund.

11. Guide Authority and Safety Decisions

During the trek, the guide’s decision is final regarding:

  • Route changes
  • Rest days
  • Turning back due to altitude sickness or weather
  • Safety measure (This is to ensure the safety of clients and staff).

12. Cancellation by Company

Himalayan Green Trips reserves the right to cancel the trip due to natural disasters, political instability, pandemics, government restrictions, or other uncontrollable circumstances.

In such cases, clients may choose:

  • Trip rescheduling
  • Credit for future travel
  • Refund (excluding non-refundable expenses already paid)

13. Unused Services

No refund will be provided for unused services, including meals, accommodation, transport, or early trek termination due to personal reasons, illness, or voluntary departure.

14. Emergency Evacuation and Medical Assistance

In case of serious illness or injury, the guide may arrange emergency evacuation. All evacuation and medical costs are the responsibility of the client and should be covered by the traveler's insurance.

Himalayan Green Trips will assist with coordination.

15. Liability Disclaimer
